Set up court reservations: open hours, court pricing and booking rules
Set when members can book courts, what an hour costs, and the booking limits from your club's Settings, under Reservation settings: Availability, Booking rules, Court pricing and Booking event types. Any club admin can change them, and you can reach them from the Settings button at the top of the Scheduler.
Before you start:
Court booking comes with a facility plan. Contact us to turn it on for your club.
Connect Stripe to take paid bookings. Until you do, members can only make free bookings. See Connect Stripe.
The first time you open the Scheduler, the Set up court reservations wizard walks you through your courts and booking rules. Everything below can be changed later.
Open days and hours
Hours apply to the whole club, not to single courts. Open Availability:
Turn on Accept court reservations. Members see a Reserve a court tab while it is on.
Set Opens and Closes (30-minute steps). The default is 8:00 AM to 8:00 PM.
Under Open days & hours, turn a day off to close it, or give specific days different hours.
Check the Time zone, then save.
To keep a court off the member schedule, open Settings > Courts & sport categories and turn off its online booking switch. The court shows as Staff only, and only admins can book it.
Booking rules
Open Booking rules to control how members book:
Bookable session lengths: any of 30, 60, 90, 120, 150 or 180 minutes. Start times are spaced to fit every length you offer.
Booking window: how far ahead members can book: 1, 3, 7, 14 or 30 days (default 7). Newest day opens at sets the time each new day becomes bookable (default midnight).
Hold an unpaid booking for: how long a court waits while a member pays (default 15 minutes).
Max active per member: upcoming bookings one member can hold at once (default 2).
Free cancellation: Refund if cancelled… any time before start, or up to 1, 2, 4 or 24 hours before (default 2 hours). After that, a member who cancels gets no refund.
Members-only booking: on means only club members can book. Off (the default) means anyone with your club page can.
Players per court: the most a member can put on one court, themselves included (default 4). Your own bookings aren't limited.
Pay only your share: the booking member says how many are playing and pays one share. You collect the rest from the others.
Court pricing
Open Court pricing and enter the $ / hour rate. It is charged pro rata, so a 90-minute booking costs one and a half times the rate. Leave it empty to make booking free.
Peak hours: enter a Peak $ / hour rate, then Add peak hours with the days and times. A booking that starts inside a peak window pays the peak rate for its whole length.
Price a court differently: set a separate hourly rate for a covered or show court. Leave it empty to use the main rate.
Players pay the card processing fee: on (the default) adds a service fee at checkout so you keep the full rate. Off means players pay just the rate and tax, and the card fee comes out of your payout.
The hourly rate is the same for members and non-members. To give members a better rate, edit their membership tier and set a percent or amount off under Court bookings.
Membership tiers can also override the booking rules for their members under Play privileges: Advance booking, Max active bookings, Bookings per day, Bookings per week, Max booking length and Free cancellation. A week runs Sunday to Saturday.
Booking event types
Booking event types tag bookings and events on the Scheduler, each with a color. Open Booking event types and use Add event type to add one, with a Name, a color, and Creates: the kind of event the Scheduler makes for it (Single Day Event, League, Tournament or Private event).
We start you with Open Play, Lesson, Clinic, League, Tournament, Single Day Event, Private and Other. League, Tournament and Single Day Event are built in and can't be removed. Deleting a type keeps its bookings, without a type.
