How organizers sign and pay for a private event
Organizers review, sign and pay their proposal from the link you send, in a browser, with no GGS account or app needed. Here's what they see and what happens to the money, so you can walk them through it.
Review the proposal
The link opens the proposal with your club's name, every line and its price, the subtotal, tax, service fee and total, the deposit to book and when the balance is due, and the date they can cancel by for a full refund. It also shows the date the proposal is good until; after that it can't be signed, and you'd send a new version.
Sign
Under Sign to accept, they type their full name and email.
They tick the box to agree to the proposal.
They click Sign proposal.
We keep a record of the signature with the exact proposal they signed, and they get a signed copy by email. The request moves to signed on your side.
Pay the deposit
Right after signing they click Pay deposit and pay by card. The money goes to your club's Stripe account, and their card is saved for the balance. The request moves to Deposit paid on its own.
How the balance gets paid
The balance collects itself:
A week before the balance due date, we email the organizer a link to pay it.
If it's still open on the due date, we charge the card they used for the deposit.
If that card is declined, we email the organizer and your club, and their pay link stays open.
They can also pay the balance early from the same proposal link at any time. Requests you've marked Paid by hand are never charged.
Payments by check, cash or account credit that you record count toward what they owe, so the automatic charge only takes what's left.
