Build a private event proposal
A proposal is the priced quote you send an organizer: what's included, the total, the deposit to book, and when the rest is due. Open a request from your Private events inbox to build its proposal. The date, hours and headcount come from the request, and your default template fills in the starting lines.
Club admins can build and send proposals. Your club needs a connected Stripe account for organizers to pay by card.
Set the event details
The Event card holds the date, start time, hours and people. Lines priced per person or per hour follow these numbers until you type a quantity of your own on a line, so update them here first when the plan changes.
Add what's included
Each line in What's included shows on the proposal with its price. Click Add a line and pick a type:
Line | How it's priced |
|---|---|
Court time | Courts × hours × a rate per court per hour |
Per person | People × a price each, such as a food and drinks package |
Add-on | A quantity × a price each, such as paddle rentals |
Flat fee | One amount, such as an event host |
From your items… | Something you already sell in your pro shop or rent out, at its usual price |
Tick Taxable on a line to charge your club's sales tax on it. A proposal holds up to 40 lines, and totals update as you type.
Add a discount
Click Add a discount and choose how it works:
Amount off: a dollar amount off the lines above it.
Percent off: a percentage off the lines above it.
Set the total they pay: enter the final amount, and we work out the discount so the total lands on it, tax and service fee included.
Discounts come off before tax and show on the proposal as their own line, with an optional reason.
Set the payment terms
The Payment card decides what it takes to book and when the rest is due.
Deposit: a percent of the total or a fixed amount.
Balance due: a date, or a number of days before the event.
The refund cutoff (how many days before the event they can cancel for a full refund) and how long the proposal stays open.
Add a personal note under For the customer; it shows at the top of their proposal.
Preview and save
Your proposal saves as you type. Click Preview to see exactly what the organizer will see. When it's ready, send it with Finalize & copy link, as described in Send a proposal and make changes after sending.
