Manage private event requests in your inbox
Every private event request, whether it came from your request form or you logged it yourself, lands in your club's Private events inbox. Open it from your club's Private events tab.
Find a request
The inbox groups requests by where they are, so you always know what needs a reply.
Tab | What's in it |
|---|---|
Open | Everything still in progress |
New | Requests you haven't sent a proposal for yet |
Quoted | A proposal is out with the organizer |
Booked | The deposit or the full amount is paid |
Done | Events you've marked done |
Closed | Requests you declined, or that were cancelled |
All | Every request |
Each card shows the organizer, company, date and time, hours, headcount, and where the proposal stands. Click a request to open its proposal page.
Log a request you took by phone or email
Add the request yourself when someone calls or emails instead of using the form, so it's tracked with the rest.
In the Private events inbox, click Add request.
Fill in the date, hours, headcount and the organizer's details. Email is optional for requests you log.
Click Save and open proposal to start pricing it right away.
Change a request's status
Statuses move on their own as you send proposals and the organizer signs and pays. Change one by hand when something happened outside GGS, such as a check the organizer handed you.
Open the request's proposal page.
In the Request card, click the Status badge.
Pick the new status.
To close a request, choose Close request…, then pick Declined or Cancelled. Closing a request stops its proposal link from working.
Marking a request Paid by hand tells GGS nothing more is owed. The organizer sees nothing left to pay, and their saved card is not charged on the balance due date.
Edit the request details
Click Edit request on the proposal page to fix the organizer's contact details, the date, or the headcount. The organizer's email and phone are one click away on the Request card, with copy buttons.
