Refund a player's entry fee
Refund one player from their player details on the event's Players tab with Refund, or refund everyone at once with Refund All (or one division with Refund This Division). For each refund you choose who covers the processing fee and where the money goes: back to their card, as club credit, or nowhere. Refunding also withdraws the player from that division.
You need to be a club admin (owner or staff) to refund a single player. Event hosts can also use Refund All and Refund This Division. Refunds only apply to events that use Good Game Sports registration, where we took the payment.
Refund one player
Open the event, click Host Dashboard, and go to the Players tab.
Tap the player to open their details. The Payment: line shows what they paid.
Click Refund with the amount, for example Refund $40.00, then Process Refund.
Under Who covers the fee?, choose Take it from their refund or The club covers it.
Under Where does the money go?, choose Refund to original payment, Give as club credit, or No refund.
Click Issue refund.
We work out the amount from the player's registration, so you can't type a custom amount. If they registered for several divisions in one payment, each division is refunded on its own, and the player stays registered in the others. When a division's refund comes to $0, you can remove the player with Remove Player instead.
Who pays the processing fee
Take it from their refund: where the player paid the processing fee and is refunded to their card, they get back what they paid less that fee.
The club covers it: the player gets every cent back, and the processing fee comes out of your club.
Give as club credit: the credit is worth the full amount they paid either way, and applies to their next booking or dues.
Our platform fee isn't returned on a refund. Refunds come out of your club's Stripe balance.
Refund everyone in an event or division
Use this when you cancel an event or a division. It refunds every paid registration in one go.
On the Players tab, click Refund All. For one division, open that division's menu and choose Refund This Division (shown when the event has more than one division).
Check how many players paid and the total, then choose who covers the fee and where the money goes.
Click Issue refunds.
Give as club credit is only available here if your club has memberships turned on. Players who used a package pass get it back. If some refunds fail, we tell you how many. Run it again and it picks up only the players still owed.
Removing or withdrawing a player does not refund their card payment. Their payment stays marked as paid, so Refund All still includes them.
What the player sees
The player gets an email saying their registration was cancelled, and the money goes back to the card they paid with or onto their club credit. Players can also cancel and get a refund themselves before the event's refund cutoff (72 hours before the start, unless your club or event sets another cutoff or turns refunds off).
Check whether a player paid
Player details: the Payment: line shows the amount, date and how they paid (online, card reader, card entered by staff, card on file, account credit or "Paid outside Good Game Sports"), plus anything refunded.
Owes filter: on the Players tab, filter to Owes to list players who haven't paid. Tap a player and use Collect payment to charge them.
Transactions: if your club has memberships turned on, the club owner can see every payment, including players no longer in the event, in Billing & Reports > Transactions. Set For to Event registrations or Refunds, or Status to Refunded.
