Sell drop-in nights in a league: drop-in price, drop-ins only, waitlists and refunds
To let players buy single nights of a league instead of the whole season, enter a Drop-in price per date (optional) in the league's Pricing step. Players then pick the dates they want and pay that price for each date. Tick Drop-ins only to stop selling the full season. Each date has its own capacity, its own waitlist and its own refund deadline.
Drop-ins are only available on League events, and only for players who register on their own. A drop-in can't cover a partner's spot. The drop-in dates are the league's play dates.
Turn on drop-ins
Create the league, or open it in Edit Event, and go to the Pricing step.
Enter the Drop-in price per date (optional). Leave it blank to sell the season only.
Optionally tick Drop-ins only. The base price is then not used, and players must pick dates.
Set the division capacity. With drop-ins on, it is the number of players on each date (Max Players per Date), not for the whole season.
Membership tiers can have their own price per date. If you clear the drop-in price later, drop-ins are turned off again.
Choose when each date goes on sale
By default, drop-in dates follow the event's registration dates. To sell each date on a rolling schedule instead, tick Sell each date on its own schedule:
The first date goes on sale when registration opens. Each later date opens the day after the previous date, at the time you pick in Opens the day after the previous date at (12:00 PM unless you change it).
Each date stops selling the number of hours you enter in Closes this many hours before it starts (2 unless you change it, and at most 336, which is 2 weeks).
Adjust individual dates lets you change when a single date opens or closes.
Season sign-ups keep the event's registration dates. When you add a player yourself, these on-sale times don't apply.
What players see
At registration, players choose Full season or Drop in and see the running total. On a drop-ins only league they just pick dates. Season players hold a spot on every date. Drop-in players hold a spot only on the dates they bought. A player who opts out of a date frees their spot for someone else. Players can come back later and buy more nights under Add more dates.
Drop-in waitlists
When a date is full, players can join that date's waitlist for free.
When a spot opens, the first person in line gets it held for 12 hours, or less if the date stops selling sooner. We tell them with a push notification and an email.
They still have to register and pay to claim it. If they don't, the spot goes to the next person.
A date's waitlist ends once the date stops selling or starts.
On the Host Dashboard, a drop-in league shows Players per date, with how many are booked and waiting on each date. On the waitlist page, the By date filter shows each date's line, and you can remove someone from it.
Refunds for drop-in dates
If the event allows refunds, each date is refunded on its own, up to that date's refund deadline. The deadline is the event's refund cutoff before the date starts, or your club's default if the event has none, or 72 hours if neither is set. Processing fees are not refunded. A cancelled date's spot goes to its waitlist.
Players open the event in My Events, tap Withdraw from event, tick the dates in Cancel dates and confirm.
Hosts open the player in the Players tab and tap Cancel dates. Hosts aren't held to the deadline. Under Refund to, choose Their card, Account credit or Don't refund.
A date that has already been played can't be cancelled. A player with no dates left is withdrawn from the league.
When you add a player to a drop-ins only league from the Players tab, you pick the one week they are playing under Which week?, and they pay for that week.
