How the waitlist works and how to offer a spot
When a division is full, players can join its waitlist instead of registering. Nobody is moved off a division waitlist automatically. When you have room, open Manage Waitlist and tap Unlock Spot next to the player you want. We email and notify them with the time they must register by. If they don't register in time, the offer lapses. You need to be the event's host or a club admin.
How players join the waitlist
A player registering for a full division sees Join waitlist instead of the pay button. Joining is free and holds no spot. Each player gets a numbered place in line, and new entries go to the back.
On the event page, the player sees You're on the waitlist for that division, with a Leave button. Leaving gives up their place, and rejoining puts them at the back.
Offer a spot to someone on the waitlist
Open the event and go to the Host Dashboard.
On the Registration tab, tap Manage Waitlist. You can also open Manage waitlist from the Players tab menu.
Find the player in their division's list.
Tap Unlock Spot, then Confirm.
The player gets an email, a push notification and an in-app message telling them to register by a set time. Their event page now says A spot has opened for you, and they register and pay through the normal checkout. The released spot lets them in even though the division is still full.
How long they have: go by the countdown on their row in Manage Waitlist (for example 5h 12m left) and the register-by time in their notification, not by any number of hours in the confirm window. While the offer is open, the row is blue. When the time runs out, the row turns red and the offer lapses. Tap Unlock Spot again to give them another window, or offer the spot to the next person.
Raising a division's capacity doesn't move anyone off the waitlist either. Unlock a spot for each person you want to let in. See Change how many players can register for a division.
Add someone to the waitlist yourself
Use this when a player asks you in person or by email to be put on the list.
In Manage Waitlist, tap Add to waitlist.
Pick the Division.
Search for the player and select them.
Tap Add.
They go to the back of the line and get an email letting them know.
Other waitlist actions
Remove from waitlist (the red person icon): takes them off the list. They're emailed and lose their place.
Add to players (the green person icon): puts them straight on the roster. They get their registration confirmation, and you can take payment then or later from the Players tab. This icon only appears when your club can take payment at the desk.
Waitlisted players don't appear on the Players list until they register.
Drop-in nights work differently. Their waitlist is per night, and freed seats are offered to the next player automatically.
